JECT is looking for a Lead Clinical Medical Assistant for our West Village location. This elevated role plays a pivotal part in supporting providers, training and developing team members, overseeing clinical readiness, and ensuring smooth day-to-day practice operations. The Clinical Lead Medical Assistant combines advanced hands-on patient care support and operational accountability.

Expectations
Key Responsibilities
Clinical Preparation & Product Readiness
- Responsible for drawing up and reconstituting biostimulators in accordance with JECT clinical protocols, and aseptic technique standards.
- Ensure that there is always enough biostimulator product drawn up and reconstituted for the day's scheduled appointments, anticipating provider needs and preventing any treatment delays.
- Proactively forecast product demand based on the daily schedule, provider preferences, and historical utilization trends to maintain continuous clinical readiness.
- Maintain accurate and compliant reconstitution logs for every batch prepared, including product lot numbers, expiration dates, reconstitution times, and preparer initials.
- Oversee proper storage, labeling, and handling of all reconstituted products in alignment with clinical and regulatory standards.
- Troubleshoot any product preparation issues in real time and communicate immediately with providers and the Practice Manager.
Inventory Management
- Perform daily and weekly inventory checks and promptly notify the Practice Manager of any shortages, discrepancies, or upcoming needs.
- Conduct full monthly inventory counts with the Practice Manager to ensure accuracy, readiness, and alignment with par levels.
- Monitor product expiration dates and proactively rotate stock to minimize waste.
- Ensure the back of house is organized, stocked, and maintained in accordance with JECT brand standards at all times.
Clinical Communication & Escalation
- Actively communicate with the Practice Manager regarding any clinical issues, concerns, or incidents, ensuring transparent, timely, and thorough reporting.
- Serve as the primary clinical liaison between the Medical Assistant team, providers, and the Practice Manager, ensuring alignment on patient care standards and operational priorities.
- Escalate patient safety concerns, adverse events, or protocol deviations immediately and follow through with appropriate documentation.
- Maintain open lines of communication with providers to surface workflow bottlenecks, product issues, and clinical risks before they impact patient care.
Team Training and Development
- Provide hands-on training for new Medical Assistants by utilizing the Medical Assistant Training Checklist and report directly to the Practice Manager on progress.
- Serve as an ongoing resource and mentor to all Medical Assistants at the location, including beyond the initial training period.
- Continue to train, coach, and performance manage all Medical Assistants in partnership with the Practice Manager.
- Recognize and escalate performance concerns in a timely manner, maintaining clear documentation in collaboration with the Practice Manager.
- Lead skill-building sessions on patient preparation and clinical best practices to continuously elevate the team's standards.
- Foster a positive team culture that reflects JECT's core values of collaboration, warmth, and excellence.
Provider Support
- Manage the efficient flow of clients to ensure the schedule runs on time and providers are fully supported throughout the day.
- Anticipate provider needs regarding product preparation, room turnover, and patient readiness.
Operations & Safety

- Act as the point person to organize the daily workflow in the back of house.
- Conduct daily huddles with Medical Assistants to plan the day, review the schedule, assign tasks, and align on priorities.
- Support compliance with all clinical and operational protocols, including infection control, sharps handling, and aseptic technique.
- Continue to work as a Medical Assistant and perform daily clinical tasks alongside lead responsibilities.
- Conduct weekly machine checks and routine maintenance to ensure all devices are fully operational and ready for services.
- Serve as the first point of escalation for back of house operational issues, communicating resolutions to the Practice Manager as needed.
- Oversee all proper documentation by Medical Assistants and Providers, ensuring accuracy, completeness, and compliance.
- Ensure reconstitution logs, temperature logs, and other back of house documentation are being performed accurately, consistently, and on schedule.
- Partner with the Practice Manager on audits, compliance reviews, and continuous improvement initiatives.
Minimum Experience
Experience & Qualifications

- Must hold an unrestricted LPN or RN license in the state of New York.
- 2–3 years of Medical Assistant experience required; experience in a medical aesthetic or dermatology practice strongly preferred.
- Proven experience drawing up and reconstituting biostimulators and/or injectable products preferred.
- Ability to thrive in a fast-paced, client-facing environment while maintaining clinical precision.
- Strong organizational, communication, and problem-solving skills.
